Blog Post #4 Practice #2

Case Study One:

Here is the link to the MC Enterprises case study from 2012.

People in this Scenario

  • Paul – Employee (Spreads rumors – Passive Aggressive)
  • Amanda – Employee (Shy, doesn’t confront problems – Passive)
  • Ravi – Employee (anger issues – Aggressive)
  • Alan – Team Leader (Demanding, ask others to do his work for him)
  • Harry – Manager of Marketing
  • Gillian – General Manager (Tough but Fair)

What is the problem?

well, Alan sometimes has to leave early from work because of his sick wife and small children, the team of Paul,Amanda and ravi feel like Alan is taking advantage of this and always leaves early, forcing them to do his work for him. the team is all reacting to this situation differently, Paul is spreading rumors about Alan, in hopes of him getting fired/caught, Amanda doesn’t like confronting problems and is “bottling up” everything, this is also causing problems at home, and Ravi is very aggressive and one Friday afternoon, he lost his cool and took his anger out on Alan then storms out. The overall company is having really bad communication issues and every department sticks to themselves.

As a team, Paul, Amanda and Ravi should firstly organize a meeting with Alan first, to explain how they are feeling as co-workers about the whole situation.however, as Amanda is already stressed out and closed of from everyone, she asked Paul to talk about her problems for her, and because of the recent situation between Ravi and Alan, its best that he stays calm. From all this, Paul would be the best person to represent them and would explain to Alan:

Paul ” Alan, you have been having to run off early most afternoons and leaving all the work to be finished by us and this is causing unwanted stress and anger on us in and outside of the workplace. Because of this, we think if we stay overtime, we should get Fridays or a day off work as we are still getting the same amount of work done and gives us time off to be less overwhelmed by stress and last weeks incident hopefully would’t happen again.”

From this example, Paul, is staying calm; describing and expressing their feelings about the whole situation; not accusing Alan and hopefully Alan is respecting them and actively listening to what they have to say.

Alan ” I am sorry about having to leave work early most days, as you know, my wife has been in and out of hospital, so i have been having to look after my kid.I didn’t know how this has been affecting you all and I completely understand how you are feeling. I love that idea and I will talk to Gillian about it straight after this and we can hopefully get that sorted. once again, i’m really sorry about the whole situation and if we can’t sort out having the days off, i will try sort out a babysitter/childcare, so i can minimize the how many days i have to leave early, could even be able to stay later to do more of the work load. what do you all think?

From Alan’s reply, he is showing that he listened to everything they had to say, understood and empathized with his co-workers and with his reply, he explained the facts on why he has been having to leave early, acknowledge and approve of their ideals to come to an equal agreement, and if they aren’t possible, offered another solution. finally overall, a understood where he went wrong and faced up to it by apologizing

However, lets say the situation didn’t get solved their, what should Paul,Amanda and ravi do? they should report to a Harry, explaining that they tried to come to an agreement with Alan, but they are now needing help from Gillian

By talking, expression their feelings and wants, by the end, hopefully they all come to some sort of mutual agreement, so everyone is happy with.

Please give me any sort of feedback on how i did, would love to hear how i can improve my writing.

(i’m not the best at putting thoughts to paper….well keyboard)

Malfunctioning Drive Email Practice

What does the writer want the reader to do?

The writer is writing to a IT company to enquire about a faulty hard drive they purchased from them three months ago and the writer wants the faulty product to be replaced

What are the barriers to effective communication?

Within example 1 of the document. I think one barrier is “Lack of attention, interest, distractions, or irrelevance to the receiver” because the writer gets distracted and talks about unnecessary information, they also don’t get to the key reason they are writing the email until halfway through the second paragraph.

Blog Post #3

PART 1 – Efficiency and effectiveness of my team

My team is called Orange Team and it consists of myself, Bailey, Erica, and William.

Well firstly, what types of teams are there?(This is based on small 4 person teams, these definitions would change depending on the size, purpose and relation of the team)

Teamwork

Bad Teams –

There are lots of reasons a team can become a bad one, most of it is from everyone’s personalities and sometimes those personalities clash and create debating till one person is correct instead of discussing and sharing thoughts. This can lead to a forced leadership and from there, it can go down hill, no common goals are established, no plans to communicate and review the project and to be honest i would call them a group of people not a team.

Good Teams –

A good team is light years ahead of a bad team, good teams can get the work done and plan goals and communicate. maybe its not the most efficient team out there, but the project is done to a minimal viable product.

Great Teams –

This is the dream team! everyone understands/supports negative feedback and each other, everyone is unique and has there own say, the team works together not individually then mash it into one thing at the end. The team communicates with enthusiasm and love for the project as they all have the same common goal and vision of the project.

So from this, What type of team is “Team Orange” and why?

For me personally, we are somewhere in between good and great, but definitely more skewed towards a good team. So why do i think this? well we are all working well when we are together and we haven’t had any conflicts of personalities or for power over the group. we are all like minded, quite and open to ideas, however even though we all are working really hard, we aren’t working together, its more of compiling all our work at each meeting to let everyone know what is happening. This isn’t necessarily mean it’s bad, we just found this process the best for us and our working habits. We still have room for improvement, which will come in time.

PART 2 – How is it important to have an effective team in my:

COM 502 Class –

it is very important to have an effective team in class, because we all here for the same reason/goal/end product which is passing the year. So we all share something in common,So with an effective and efficient team, the team can easily distribute the work out evenly, have meetings, give positive and negative feedback to improve the project. This is also good practice for when we are in the real business world of IT

Overall Degree Program  –

Even more important, because i will be working with my peers for the next three years and having good communication with them will make future projects easier to do and have less negative conflicts. this mainly reflections the description of COM 502 Class.

Future Employment

It is extremely important because you will be dealing with real scenario’s and if you can’t effectively work as a team, the project will fail, which can ruin your employment or even the whole company!

Just a bit of research to help me ; )

Meetings #3 and #4

Over the holidays, our team met up in Richmond twice, William was super amazing by finding and booking us a conference room at the local Richmond Library (I think he deserves the pizza just from that!)

19th April 2017

From our first meeting of the holidays, We looked over what we have done over the week and well, not much was done because of the Easter weekend, but who can blame us, it was good to have a relaxing weekend for once ( :

We then went on to talk about the Team report and we assigned our three main topics to people.

  • Time Zones and Geographical location are less than ideal – William took this one as he knows the most about time zones, location and all that stuff.

  • Meetings being organised, not being adhered to/canceled – Erica offered to take this topic.

  • Communications Software being used is lacking – Bailey took this topic as he had already started researching new and better software for OnPoint to use.

  • Team Meeting Reflections – well, we only had three discussions, so took over the reflections and also took over most of the work for DES501 so they could focus on COM502(Erica, William and I are all in a DES501 Team as well).

the overall meeting was short, as there was not much to discuss. Hopefully next week, we have more to talk about and more stuff for me to do!

26 April 2017

This weeks meeting was very productive! Again we talked about our week and what we have done.

Everyone had finished their topics and written around 200+ words each! we then went in to detail about each of our findings and gave input to improve everyone’s work. After that, we started to just brief brainstorm recommendations and conclusions.

The overall meeting was great! we are really coming along, starting to open up and really work as a team! We also found using a whiteboard to visualize the meeting’s structure and topics, was very useful and we kept on track and there was less awkward pauses. However, next time we should write it bigger, as the camera couldn’t really pick up what everything said. Maybe we should put that as one of the recommendations???

Team Meeting #2

Our second team meeting went really well! we were able to find a better classroom environment, so the team could all hear each other better and we were all eye level to one another.

We discussed about how we all wanted our team structure to be like. Bailey suggested that each meeting will have a different leader,we all thought it was a great idea, this helps show off each of our communication skills. I personally think this is a great idea for our group, as we are all still a bit quite and this will help us all open up and get the top marks! (and the pizza, hopefully)

We then recapped, what we talked about in class from last week and further analysed the problems the clients are having.

  1. Time Zones and Geographical location are less than ideal
  2. Meetings being organised, not being adhered to/canceled
  3. Communications Software being used is lacking

we still haven’t found a perfect solutions at this time, but we definitely have some ideas

we finally wrapped it up with, when should our next meeting should be, and because of holidays and bailey’s changing work roster, we chose to find a time later on, but keep communicating through our Facebook chat
